Role Overview
Reporting to the Manager of the Executive Office, you will provide confidential, high-level executive and administrative support to a senior executive. This diverse role involves managing executive workflows, coordinating ministerial and governance processes, preparing high-quality correspondence and reports, and ensuring the smooth operation of the Executive Office.
You will also provide secretariat support for executive committees and meetings, coordinating agendas, minutes, action items and follow-up activities while maintaining strong relationships with internal and external stakeholders.
About the Person
You are an experienced Executive Assistant or Executive Officer with exceptional organisational skills and the ability to manage multiple priorities in a complex environment. You are proactive, professional and exercise sound judgement when handling confidential information. You enjoy building strong working relationships and are confident communicating with senior executives, government stakeholders and external organisations.
Key Responsibilities
- Provide high-level confidential executive support to a senior executive.
- Manage complex diaries, calendars, meetings and travel arrangements.
- Coordinate executive office administration and workflow.
- Prepare reports, briefing notes, presentations, correspondence and other executive documentation.
- Coordinate ministerial correspondence and monitor urgent actions and deadlines.
- Provide secretariat support, including preparing agendas, minutes and action registers.
- Liaise with senior internal and external stakeholders, government agencies and service providers.
- Identify opportunities to improve administrative systems and office processes.
- Assist with research, projects and the coordination of executive priorities.
- Demonstrated experience as an Executive Assistant or Executive Officer supporting senior executives.
- Exceptional diary management, organisational and time management skills.
- Experience preparing high-quality reports, correspondence and briefing material.
- Strong secretariat experience, including committee coordination and minute taking.
- Ability to manage competing priorities while maintaining accuracy and confidentiality.
- Excellent written and verbal communication skills.
- Strong stakeholder engagement skills across a range of internal and external groups.
- Experience within Government or a large, complex organisation will be highly regarded.
- Proficiency in Microsoft Office Suite and contemporary office systems.
- Current National Police Check.
- Working with Children Check.
- Ability to meet required immunisation requirements for a healthcare environment.
- Availability to commence immediately (or at short notice) is highly desirable.
