The Project Coordinator is responsible for supporting the end-to-end delivery of client projects, ensuring they are well planned, well communicated and delivered on time and on budget. This role acts as a central point of coordination between our clients, technical consultants, service team leaders and internal operations, leading project kick-off and sign-off, running regular cadence meetings, and keeping stakeholders informed of progress, risks and next steps. A key focus of the role is maintaining control over scope, schedule and budget through disciplined change management, early escalation of resourcing constraints, and clear documentation of decisions and variations.
Key Responsibilities
Project Coordinator needs to provide structure to the project team. Built out projects in ticketing system. Working alongside technical project lead to run the whole project. Lead project kick-off and sign-off meetings with clients.
- Run regular project cadence meetings and provide clear updates on progress, risks, and next steps.
- Manage ad hoc client communications for risk, issue and incident management.
- Build and maintain project plans, including milestones and task breakdowns for sold solutions. Working closely with senior technical consultants where needed.
- Work with customers and internal teams to ensure projects are delivered in line with agreed scope, quality, time and budget.
- Schedule work with assigned technical resources and clients, ensuring availability and dependencies are managed.
- Coordinate with team leaders to ensure project resource needs are understood and balanced against BAU and other projects.
- Monitor daily/weekly task progress, chasing updates and removing blockers so work progresses as planned.
- Coordinate with finance/operations on project invoicing, billing milestones and time/expense reconciliation.
- Identify when work deviates from the agreed scope or project plan and pause nonapproved work where required.
- Maintain a clear audit trail of key decisions, changes and approvals
