Role Overview
We’re seeking a detail-oriented and discreet Board and Legal Support Officer to provide professional and confidential administrative support across the Board Secretariat, Legal, and Insurance teams. This is a diverse and fast-paced role where no two days look the same - from coordinating meetings and managing legal documents to supporting governance processes and ensuring the seamless operation of executive functions.
You’ll work closely with senior stakeholders, including directors, legal professionals, and corporate leaders, providing vital support that keeps operations running efficiently and in full compliance with governance standards.

Key Responsibilities
- Provide high-level administrative support to the Board Secretariat, Legal, and Insurance teams.
- Assist with Board director onboarding, meeting coordination, and travel arrangements.
- Manage and prepare agendas, papers, and minutes in accordance with governance standards.
- Act as a Diligent Boards Administrator - managing users, uploading materials, and distributing meeting packs.
- Support the Legal team with documentation preparation, service of documents, and invoice processing.
- Maintain accurate legal and corporate records in compliance with policies and audit requirements.
- Coordinate logistics for Board and committee meetings, workshops, and events.
- Continuously review and improve administrative processes to enhance efficiency and accuracy.
Skills, Knowledge and Experience
- Proven experience in administrative or executive support, ideally within a legal, governance, or corporate services environment.
- Exceptional organisational and time management skills with the ability to manage changing priorities.
- Strong written and verbal communication skills, with attention to detail and accuracy.
- Ability to maintain confidentiality, integrity, and professionalism in all dealings.
- Highly proficient with Microsoft Office and digital collaboration platforms.
- Demonstrated initiative, accountability, and the ability to work both autonomously and as part of a team.
- Knowledge of government or corporate governance practices and policies.
- Experience using Diligent Boards or similar systems.
- Current driver’s licence and flexibility to work after hours as required.
